Creating a budget doesn’t have to be a row-by-row task! Sometimes it’s more convenient to enter numbers at a higher level, such as for an entire group or fiscal year at once. But what does this mean in practice? Let’s hop in to take a closer look!
Entering a budget for a group and the entire fiscal year
When you enter a budget for a group and the entire fiscal year, StatBun automatically distributes the total budget across the rows within the group and the months of the year. You can choose how the distribution happens: either evenly across all rows and months or relatively based on comparative values, such as the previous year’s actuals.
This means that instead of entering numbers for each individual row one by one, you can input the total for the group or fiscal year. Then, StatBun will handle the rest, distributing the amount across the hierarchy automatically.
Entering a budget at the group level
Group-level budgeting is ideal when you want to budget for a single group (e.g., "Sales") for the entire fiscal year but don’t want to manually input amounts for each individual row in the group. In this case, you can enter the budgeted amount on the group summary row (e.g., "Sales total").
StatBun will automatically distribute this amount across the fiscal year and down to the individual rows within the group (e.g., "3000 - Sales 24%). It will also update the top-level summary (e.g., "Net turnover total") accordingly.
1. Open the budget you want to work on. If you haven’t created a budget yet, check out the guide on how to create one (link opens in a new tab) and then continue with these steps.
2. Navigate to the group level. Find the summary row for the group you want to budget, such as "Sales total" in the budget hierarchy.
3. Enable input mode. Click the "Input mode" button in the toolbar to enable it. Then double-click the cell where you want to enter the amount.
4. Enter the budgeted amount. Type the desired amount into the group-level cell and press Enter.
5. Choose how the amount will be distributed. StatBun will prompt you to select a distribution method:
- Evenly: The amount will be divided equally across all months and rows.
- Relative to comparative values: The amount will be distributed according to the seasonal variations in the previous year’s actuals.
6. StatBun distributes the amount automatically. The entered amount will be allocated across the fiscal year and down to the individual rows in the group, such as specific accounts.
7. Review and adjust as needed. If you want to make further adjustments, you can edit individual rows or cells. This allows you to fine-tune the budget to align with your specific goals.
Entering a budget at fiscal year level
If you want to set the target for the entire fiscal year with a single amount (e.g., "Net turnover"), you can enter the figure at the top level of the hierarchy. StatBun will automatically distribute the amount across the fiscal year, down through groups, and further to individual rows within the hierarchy.
For example, if you want to budget the total net turnover for the year, you can enter the amount in the "Net Turnover total" row. StatBun will automatically distribute the amount across the fiscal year and into groups (e.g., "Sales total"), and then further down into individual rows within the group (e.g., "3000 - Sales 24%" and "3010 - Sales 2 24%").
1. Open the budget where you want to enter the figures. If you don’t have a budget yet, create a new one by following the guide (a link to the guide will open in a new tab) and then return to this guide.
2. Navigate to the fiscal year level. In the input view, find the top-level summary row, such as "Net Turnover total" where you want to enter the budgeted amount for the entire year.
3. Enable the input mode. Turn on the input mode by clicking the "Input mode" button in the toolbar. Then, double-click the cell where you want to enter the amount.
4. Enter the budgeted figure. Type in the desired amount at the fiscal year level and press Enter.
5. Choose how the amount will be distributed. StatBun will ask if you want to distribute the amount:
- Evenly: The amount will be divided equally across all months and rows.
- Relative to comparative values: The amount will be distributed according to the seasonal variations in the previous year’s actuals.
6. StatBun will automatically distribute the amount. The amount you entered will be distributed across the entire fiscal year and then down through groups and individual rows within the hierarchy.
7. Review and adjust if necessary. If you want to make more specific adjustments, you can modify individual rows or cell-level data. This allows you to fine-tune the budget to match your more precise targets.
